Last Updated: January 5, 2026

At Engineva Research Solutions Inc. (“Engineva,” “we,” “us,” or “our”), we are committed to protecting the privacy and confidentiality of the personal and corporate information entrusted to us. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you visit our website (https://engineva.com) or engage our SR&ED and technology funding services.

This Privacy Policy applies to personal information as defined under Canadian privacy laws, and to the extent applicable, also describes how we safeguard confidential business and technical information provided by our clients.

1. Information We Collect

To provide expert tax credit and funding services, we collect several types of information:

  • Contact Information: Name, email address, phone number, and company name provided via our “Free Assessment” forms or “15 Second Eligibility Check.”
  • Technical and Project Data: To assess SR&ED eligibility, we may collect technical narratives, project descriptions, experimentation records, and R&D hypotheses.
  • Financial and Payroll Information: If you engage our services, we may collect financial records, T4 summary data, contractor invoices, and timesheets required for CRA submission. This may include personal information relating to your employees, contractors, or business representatives.
  • Usage Data: Standard web server logs and cookies that track IP addresses, browser type, device identifiers, and pages visited to help us improve website performance and security.

We may also collect communications data, such as messages, emails, and attachments you send to us in the course of engaging our services.

2. How We Use Your Information

We use the information collected to:

  • Perform eligibility assessments for SR&ED and other government grants.
  • Prepare and file tax credit claims with the Canada Revenue Agency (CRA) and other relevant agencies, where applicable.
  • Communicate with you regarding your claim status, legislative updates, audit defense, or service delivery matters.
  • Improve our proprietary “SmartKit™” and internal documentation workflows.
  • Maintain internal business records, enforce agreements, and support dispute resolution, compliance, and fraud prevention.

3. Consent and Legal Basis

We collect, use, and disclose personal information with your consent, except where permitted or required by law. By submitting information through our website or engaging our services, you consent to the collection, use, and disclosure of your information as described in this policy.

You may withdraw consent at any time, subject to legal or contractual restrictions. Withdrawing consent may prevent us from providing services, including completing SR&ED filings.

4. Disclosure of Your Information

We do not sell or rent your data to third parties. We only share your information in the following circumstances:

  • Government Agencies: With your consent, we disclose necessary technical and financial data to the CRA or relevant provincial funding bodies to facilitate your claims.
  • Professional Partners: We may collaborate with specialized accountants or technical experts under strict confidentiality agreements to support claim preparation, audit defense, or technical validation.
  • Legal Requirements: If required by law, subpoena, court order, or government audit.
  • Service Providers: We may use third party service providers to support our operations, such as website hosting, customer relationship management, secure file storage, analytics, scheduling, and email communications. These providers may process information on our behalf and are contractually required to protect it in a manner consistent with this policy.
  • Cross Border Transfers: Some of our service providers may store or process personal information outside Canada. In such cases, personal information may be subject to the laws of the jurisdiction in which it is stored or processed.

5. Data Security and Confidentiality

Given the sensitive nature of SR&ED and R&D data, Engineva employs industry standard security measures designed to protect information against unauthorized access, disclosure, misuse, alteration, or loss:

  • Encryption: Data submitted through our website and SmartKit™ platform is encrypted in transit. Where supported by our systems and service providers, data is also encrypted at rest.
  • Limited Access: Only authorized employees with a need to know basis, such as your assigned engineer or funding specialist, have access to your project folders.
  • Confidentiality: Every Engineva team member is bound by strict confidentiality obligations and non disclosure agreements.

Despite these safeguards, no method of transmission over the Internet or method of electronic storage is fully secure. We cannot guarantee absolute security, but we take reasonable steps to protect your information.

6. Data Retention

We retain personal information only as long as necessary to fulfill the purposes described in this policy, comply with legal and CRA recordkeeping obligations, and resolve disputes. When information is no longer required, it is securely deleted, destroyed, or anonymized.

Under Canadian privacy laws, you have the right to:

  • Request access to the personal information we hold about you.
  • Request corrections to any inaccurate or incomplete data.
Withdraw your consent for us to use your personal information, subject to legal or contractual restrictions.
